Leaves of Absence
As a full-time employee of KLDiscovery, you may be eligible for benefits that can assist you and your family during your absence from work (Parental Leave, Sick Leave, Family Medical Leave Act coverage, Short-Term Disability, Long-Term Disability, and the Employee Assistance Program). Not all of these benefits may apply to your situation. Please read the information below carefully.
First Steps:
- Please reach out to your Manager to let them know your anticipated leave dates (whether your leave be for the birth of a child or for illness). Keep it general—We discourage discussing specifics regarding illness/health with your manager, but keep them in the loop about when your leave will start and when you hope to return.
- Contact our Leave Administrator, Lincoln Financial, to report your leave. This is the important first step to ensure that eligible absences are protected under the Family Medical Leave Act (FMLA). You can report your absence online or by phone at 1-888-408-7300 (Company code = KLDiscovery).
Coordination of Benefits:
- In the case of a birth or adoption, please let the Benefits Team know when the child arrives so that the Parental Leave time can be added to your available leave balance (in ADP and, if hourly, A/X). Please submit your time-off requests in ADP or A/X (if hourly) when you elect to use this time.
- If you will be on leave past the 5 days of Parental Leave, and you are not on a short-term disability, you must use up your accrued vacation time (and Sick Leave if for medical reasons) while on leave. Please submit time off requests in ADP or A/X.
- If your leave qualifies for Short-Term Disability, Lincoln Financial will coordinate the approvals of this benefit and send weekly disability benefit checks directly to you. Social Security and Medicare taxes will be withheld from these payments, along with any applicable benefit deductions to include your health, dental, vision, and/or FSA premiums. Additional voluntary deductions will resume upon return from leave. You will receive a W2 in January for reporting additional taxes.
- If you are on Short-Term Disability, you have the option of supplementing this pay with your accrued available leave time. If you wish to do this, please contact Benefits@KLDiscovery to coordinate this. Please note, the Benefits Team will not automatically supplement your pay with accrued paid leave time. This must be requested in advance.
- Your elected health benefits will remain in force during your leave.
- You will not accrue vacation time during any unpaid portion (including short-term disability) of your leave of absence.
Important Follow-Ups:
- Please remember to provide updates to Lincoln Financial during your leave. You must submit requested medical/birth documentation to Lincoln Financial; otherwise, your leave will not be approved for and covered by FMLA.
- Reach out to the Benefits Assistance Center within 31 days of a birth of a child in order to make updates to your benefits.
- Please submit a Return to Work Authorization form to Benefits@KLDiscovery when you have been authorized by your healthcare provider to return to work from a Medical Leave.
- NOTE: If you are on short-term disability, you should not be performing work for the company. Working while on STD could affect your approved leave.
IMPORTANT: Employee must confirm with their Manager and the Benefits Team when they have returned to work. This notification is essential for enabling your paycheck to be processed correctly upon your return.
